Receptionist

Solutions recruitment are recruiting for an experienced Receptionist to work within the Public Sector based in Newcastle Upon Tyne

Temporary Contract

Working hours will be 8.30 am – 5.00 pm Tuesday to Thursday, 8.30 am – 4.45 pm Monday and Friday with one hour for lunch each day (37 hours a week). 

Duties

Supporting the s attendance process by printing class lists and entering student attendance data. 

Supporting coursework submission and marking by printing coursework tick sheets, logging the receipt of coursework and informing staff when it is ready to collect for marking, supporting both staff and students with reminders regarding assessment deadlines and marking deadlines. 

Administrative support for particular projects or Programmes of study as required such as providing support for the School’s Overseas Immersion Programme, updating handbooks, timetables and so on. 

Meeting and Greeting Clients

Answering general enquiries from students and members of staff e.g. assignment hand-ins, class lists, staff room numbers, telephone numbers etc.
respond to telephone calls, emails and enquiries from staff, and members of the public, taking messages or referring people on as appropriate.

To process the incoming mail for the School sorting and distributing to staff and students and forwarding any mail incorrectly addressed.

Supporting the creation of articles for the Staff and Students bulletins. 
Be responsible for receiving deliveries of parcels.

To manage the booking systems car parking space and meeting room bookings.

To manage the Chubb access system providing appropriate access to the staff and students in the School.

To assist with general office tasks such as typing, scanning, photocopying and filing.

Experience

Experience in a relevant customer-facing role.
Experience in using Microsoft Office software (Word, Excel, Outlook) 
Relevant receptionist experience in a busy office environment.

Skills

Ability to demonstrate a customer focused and positive approach.
Be a clear communicator, both orally and in writing with good interpersonal skills. 

Evidence of organisational skills.
Ability to use initiative.
High attention to detail.
Ability to use tact and discretion.
Ability to manage conflicting priorities.
Ability to work flexibly and co-operatively with others.
