Solutions recruitment are looking to recruit a Strategic Planning Administrator to work within the public sector on a temporary contract based in Sunderland.
Pay Rate £8.54per hour
Purpose of the role
To provide a full range of administrative and clerical support.
Duties and Responsibilities
To promote the Service vision, ‘Creating the safest community’.
To ensure that all policies and procedures within the function are adhered to and in accordance with regulations, lean thinking and value for money.
To provide a full range of administrative and clerical services including; photocopying, faxing, answering the telephone, distribution of correspondence, preparing letters for post, completion of forms.
To attend meetings, taking and preparing minutes as appropriate.
To undertake diary management, including arranging meetings, events and booking facilities where appropriate for the Department.
To be responsible for the coordination of travel arrangements and accommodation bookings for the relevant departments within the Service.
To utilise computer software and equipment to produce documents, including; reports, correspondence, spread sheets and statistical data.
To ensure that the current guidelines are adhered to in respect of standardisation
of all correspondence in accordance with Service procedures.
To update and maintain schedules and project plans relating to the department.
To receive and disseminate work requests to relevant department members.
To undertake duties in relation to the Financial Management System (SAP)including the procurement, administration and monitoring of departmental budgets.
To establish and manage appropriate databases for the circulation of letters and other documentation as appropriate.
To complete and submit all records relating to attendance, sickness, leave and any other necessary records for personnel within the team.
To effectively liaise with a wide range of internal and external stakeholders.
To oversee relevant filing systems including appropriate storage and disposal of paper based, electronic and confidential documentation appropriately.
To undertake projects as required.
To prepare presentations using appropriate equipment and software.
To ensure compliance with the Data Protection Act and ensure data security is maintained.
To attend internal and external training courses as necessary.
To undertake any other duties appropriate to the post
